Context

Geofences let an organisation draw the boundary of a physical site and have things happen automatically when a worker crosses it. Two completely different people had to be served by one system: a manager configuring sites at a desk on web, and a worker arriving on site with a phone in one hand.

The problem

The two halves pull in opposite directions. The web tool needs enough power to draw and configure an arbitrary boundary, which risks feeling technical to an admin who is not technical. The mobile side needs the opposite: one moment, almost no thinking, done. Checking in is also the kind of task people forget, and a check-in nobody remembers to do is a safety record that does not exist.

My role

I mapped both use cases before designing either, and interviews and workflow mapping with field workers set what frictionless actually had to mean somewhere hesitation has consequences. On mobile I stripped the check-in to a single moment and moved it to the user rather than asking them to find it: a widget appears on the home screen when they enter a geofence. On web I built the creator around familiar map gestures so a manager can configure a boundary without training.

Business impact

Check-in stopped being a task to remember. Removing that friction is what decides whether adoption holds up day to day, and check-ins tied to real location give the organisation a reliable record of who was where and when. That keeps lone workers safer, and it means there is a straight answer on hand if an incident ever has to be investigated. Managers also add sites themselves, so rolling out a new location costs no engineering time.
